Terms of Service
1. Overview of Services
I offer content writing services to assist clients in creating, updating, and optimizing content for online platforms such as websites, blogs, and social media. My services include, but are not limited to:
• Virtual Organizing & Website Revamps
• Content Strategy & Consulting
• Brand Voice Development
• Website Content Writing
• Blog Writing & Article Creation
• Social Media Content Creation
• SEO Copywriting & Optimization
2. Scope of Services
The services provided by the Writer are as follows:
Content Creation: Writing content for websites, blogs and social media.
Initial Concept Development: Rather than a formal content strategy, I will dedicate a number of hours (typically 4 hours) to creating an initial content concept. This will include a draft of what your website or content could look like, with recommendations for layout, tone and content. This initial concept serves as a starting point for discussion and feedback.
Revisions: After presenting the initial concept, the client has the option to approve the direction or request changes. I will then continue the project based on your feedback.
3. Process of Setting Up Content
The process I follow to set up content for your website or social media includes:
Step 1: Initial Consultation (Discovery Call)
Goal: Understand your business, target audience and specific content needs.
We will discuss your vision for your website or social media presence, your brand’s tone and your primary objectives.
Step 2: Initial Concept Development (4-hour work)
Goal: Provide an initial preview of what your website content could look like.
I will spend approximately 4 hours crafting an initial mock-up of your website’s content (or social media posts), which will include:
A draft of one key website page
Suggested content style and structure
Basic visual layout and tone of voice
This is a starting point for us to align on the direction.
Step 3: Client Review & Go/No-Go Decision
Goal: Review the initial content and decide whether to move forward.
Once I’ve shared the initial concept, you’ll have the chance to review it and decide if the direction works for you.
If you’re happy with the initial concept, we proceed with the full content creation.
If you’d like changes or a different direction, we discuss and make adjustments.
At this point, you can decide whether to proceed, revise or explore a different approach.
Step 4: Content Creation (After Go-Ahead)
Goal: Finalize content based on approved concept.
If you give the go-ahead after reviewing the initial concept, I’ll move forward with fully developing the content, adding depth and incorporating your feedback.
Step 5: Client Feedback & Approval
Goal: Ensure alignment and timely progression of the project.
Throughout the process, I will send content drafts and other ideas and concepts for your feedback and approval. Work will only proceed once I have received your responses to any questions or feedback I have requested. Delays in providing feedback or responses may result in delays to the project timeline, but payments will remain due according to the agreed schedule, regardless of any delays caused by the client’s lack of response.
Step 5: Final Delivery
Goal: Provide the final version of content in the agreed format.
After your feedback is incorporated, I will deliver the final drafts, ready for use on your website or social media platforms.
Step 6: Post-Delivery Feedback & Adjustments
Goal: Ensure final content works seamlessly after being published.
After the content is live on your website or social media, there may be additional adjustments needed. This is when the client can provide one final round of feedback. I will review and incorporate feedback where possible, as long as it is in proportion to what can reasonably be adjusted at this stage. If significant changes are requested that are outside the scope of this post-delivery phase, they may be subject to additional fees or a new agreement.
Step 7: Additional Requests & Client Training
Goal: Clarify the scope of work and billing for additional services.
Training on how to edit or manage the website independently is not included in the fee for getting the content live. If additional requests arise, such as extra pages, structural changes to the website, adjustments to the layout or website translations, these will be billed at an hourly rate, which will be specified at the time of the request. These additional charges will be invoiced weekly and must be paid within 5 days. If bills remain unpaid, the website may be taken offline until all outstanding payments are received. No ownership transfer of the website will occur until all fees have been paid in full.
4. Fees & Payment Terms
The concept fee is included within the price estimate for the 60/40 payment structure. here’s an example to make sure how it works.
Example: For a website project with a total cost of €3,500*:
Initial Consultation (Discovery Call)
A non-refundable fee of €99 is required to book the Initial Consultation (Discovery Call).
This fee is separate from the overall project cost and is not applied toward the final payment.
Concept Phase Fee
A non-refundable fee of €480 is required for the Initial Concept Development phase.
This fee is included as part of the 60% deposit of the total estimated project cost (€3,500) and is due before work begins.
First Deposit (60%)
A 60% deposit of the total estimated project cost is required before work starts, which amounts to €2,100.
The €480 paid for the Concept Phase Fee will be deducted from this deposit, so the remaining amount due for the first deposit will be €2,020.
Final Payments (40%) + actual hours
The remaining 40% of the total estimated project cost, which is €1,400, is due one month after the project started.
Upon completion of the project, a final invoice will be issued based on the actual hours worked. Since we provide an estimated price, the final cost may vary depending on the scope of work.
The figures provided are simply examples to illustrate what it might look like if you decide to hire me for a website valued at that price.
Payment Process Summary*:
Example: For a website project with a total cost of €3,500:
Initial Consultation (Discovery Call): €150 (non-refundable, separate from project cost)
Concept Phase Fee: €480 (part of the 60% deposit)
First Deposit (60%): €2,020 after the Concept Phase Fee is deducted
Second Payment (40%): €1,400 is due one month after the project started.
Final Payment: Upon completion of the project, a final invoice will be issued based on the actual hours worked. Since we provide an estimated price, the final cost may vary depending on the scope of work.
The amounts listed are merely examples to show you what it could look like if you choose to book my services for a website valued at that price.
Payment Terms:
All payments are required in advance, except for additional costs due to actual hours worked, which will be invoiced at the end of the project. Invoices must be paid within 5 days of receiving the invoice. Failure to meet this time limit will result in the suspension of work until payment has been received. Furthermore, if any outstanding payments remain due during or after the completion of the project, the website will be taken offline until the balance is paid in full.
Additional Requests:
Any requests for revisions or additional work after the project is considered complete will be treated as separate tasks and billed at an hourly rate, which will be determined at the time of the request.
5. VAT & Registration
As a Dutch citizen operating under Dutch law, all invoices will comply with official guidelines. In 2025, I will operate under the Kleine Ondernemers Regeling (KOR), meaning there may be no obligation to charge VAT. This will be clearly indicated on the invoice where applicable.
6. Privacy & Confidentiality
Your privacy is important to me. All information provided will be kept confidential and used solely to provide the requested services. I will not share your business details or content without your permission unless required by law. Upon completion of the project, I reserve the right to include the final work in my portfolio for promotional purposes, unless otherwise agreed.
7. Copyright & Ownership
Delivering & storing content: After final payment, all written content will be delivered via a Google Drive link for 2 months. After this period, the content will be deleted from my system. If content is needed after this time, it will incur additional charges.
Ownership: Upon full payment, ownership of the content transfers to you and ownership of the website will only be transferred once all payments are made. I reserve the right to take the website offline if payments are overdue.
Use of Content for Promotion: I reserve the right to use excerpts of the content for promotional purposes unless otherwise agreed.
8. Cancellation
Should the client choose to discontinue the collaboration after the Concept Phase, and once all payments due up to that point have been made, I will provide a handover of all completed work from the Concept Phase.
Either party may choose to end the agreement if the other party does not fulfill the terms of the contract.
To ensure a smooth process, all payments for work completed up until that point must be made before any work can be handed over.
The specific deliverables will be outlined separately. Please note, any work that is incomplete or in progress at the time of cancellation will not be included in the handover.
9. Limitation of Liability
I strive to provide high-quality content, but cannot guarantee specific results such as better search engine rankings or increased traffic. I am not liable for any issues arising from the use of the content, including platform changes or technical issues.
10. Client Responsibilities
You agree to provide all necessary information, including background materials and access to platforms, in a timely manner. Delays in providing required information may delay the project, but payment deadlines remain unchanged.
11. Revisions & Changes
Any major revisions or requests outside the initial scope will incur additional charges. These changes will be quoted separately and billed accordingly.
12. Liability Protection
You agree to indemnify and hold me harmless from any claims or damages arising from the use of the content provided. If legal action is taken due to misuse or copyright infringement, you will cover any associated costs or fees.
13. Governing Law
These Terms will be governed by the laws of the Netherlands, and any legal disputes will be resolved under Dutch jurisdiction.
14. Changes to Terms of Service
I reserve the right to update these Terms at any time. Any changes will be communicated to you directly via email or posted on my website.
